Booking terms
These terms apply to all proposals and bookings by Soluna Sessions. We have written them as clearly as possible. If your confirmation says something different, the confirmation applies.
- Version 1.0 · 15 October 2026
1 Definitions
- Soluna: Soluna Sessions, reachable at info@solunasessions.com.
- Client: the venue, company or person making a booking.
- Artist: the DJ or other artist who performs.
- Performance: the DJ set, session or programming as described in the confirmation.
- Proposal: Soluna's offer with artist, set length, price and terms.
- Confirmation: Soluna's written confirmation, including by email, that finalises the booking.
2 Scope
- These terms apply to every proposal, booking and agreement between Soluna and the client.
- Deviations only apply if Soluna confirms them in writing.
- The client's own terms and conditions do not apply unless Soluna accepts them in writing.
3 Request, proposal and booking
- A request through the website is without obligation and is not a booking.
- A proposal is valid for 7 days unless it states another period. Until confirmation, the proposal is subject to the artist's availability.
- The booking is made once the client accepts the proposal in writing (an email is enough) and Soluna confirms the booking.
- Soluna is the client's contracting party. The client does not make arrangements about the performance directly with the artist unless Soluna agrees.
4 Prices
- Prices are in euros. For business clients they exclude VAT unless stated otherwise. Prices for consumers always include VAT.
- The price covers what is in the confirmation. Travel, accommodation, technical equipment and extra playing time are only charged if they are in the proposal or agreed in writing later.
- 'From' prices on the website are indicative. The price in the confirmation is binding.
- Playing longer on the night is only possible in consultation with the artist and is charged pro rata to the agreed price.
5 Payment
- After confirmation, Soluna sends an invoice for a 50% deposit, payable within 14 days.
- The balance must be paid no later than 7 days before the performance.
- For bookings made within 14 days of the performance, the full amount is invoiced immediately after confirmation.
- For regular programming, Soluna invoices monthly in advance unless the confirmation says otherwise.
- If the client does not pay on time, Soluna may suspend the performance after a written reminder. Statutory interest is also due (for business clients the statutory commercial interest), as well as collection costs as provided by law.
6 Cancellation or changes by the client
- Cancellations must be made in writing. The date on which Soluna receives the cancellation counts.
- On cancellation, the client owes part of the total price:
- more than 3 months before the performance: 25%
- between 3 months and 1 month before the performance: 50%
- between 1 month and 14 days before the performance: 75%
- less than 14 days before the performance: 100%
- Amounts already paid are offset against this.
- Moving to another date counts as a cancellation unless Soluna and the artist agree to the new date. In that case the deposit is carried over to the new date.
- Regular programming can be terminated with one month's notice unless the confirmation says otherwise. Nights that fall within the notice period remain payable.
7 If the artist cannot perform
- If the artist cannot perform due to illness, an accident or another urgent reason, Soluna informs the client as soon as possible and looks for a suitable alternative of comparable level.
- The client may refuse an alternative that is not reasonably comparable. The booking for that performance then lapses and Soluna refunds what was paid for it.
- If Soluna cannot find an alternative, Soluna refunds what was paid for that performance.
- In these cases Soluna is not liable for further damage, except in the event of intent or deliberate recklessness.
- If the artist arrives late through their own fault, the price is reduced pro rata to the playing time missed.
8 Force majeure and weather
- In the event of force majeure, the parties are not required to fulfil the agreement. Force majeure includes extreme weather, power failures, government measures and transport disruptions that could not reasonably be foreseen.
- If a performance cannot go ahead due to force majeure, we first look for a new date together. If that is not possible, the client only pays the costs Soluna has reasonably incurred and Soluna refunds the rest.
- For outdoor performances, the weather is the client's risk. Please arrange a covered spot or an indoor alternative. Ordinary rain or wind is not force majeure; a code orange or red warning from the KNMI or KMI for the location is.
9 What the client arranges
- The client provides:
- a safe, dry and level DJ spot with power, available in time for setup and breakdown;
- the technical equipment listed in the proposal, working and ready on time;
- access for loading and unloading and a parking space close to the venue, or reimbursement of parking costs;
- reasonable drinks for the artist, and a meal if the artist is present for more than five hours;
- the necessary permits, and compliance with sound limits and house rules.
- Music licences, such as from Buma/Stemra and Sena in the Netherlands or Unisono in Belgium, are arranged by the client unless the confirmation states that Soluna does this.
- The client is liable for damage to the artist's or Soluna's equipment caused by the client's guests or staff.
- If the performance cannot take place safely or as agreed at the venue, the artist may adjust or stop the performance. The client then still owes the full price.
10 The performance
- The artist decides the musical content within the style and arrangements in the confirmation. We take the client's wishes into account where possible.
- Breaks listed in the confirmation are included in the playing time.
- The artist follows the client's reasonable instructions on volume and times.
11 Photos, video and recordings
- Soluna and the artist may take photos and short videos of the performance and use them for promotion, unless the client states in writing beforehand that this is not allowed.
- The client and guests may take photos and videos for their own use and social media. Professional recordings, livestreams and commercial use require written permission from Soluna and the artist.
12 Direct bookings
- If, within 12 months of a performance, the client wants to book an artist introduced through Soluna again, that booking goes through Soluna.
- If the client books that artist directly within that period anyway, the client owes Soluna a fee of 20% of the price of that artist's last performance through Soluna, per booking.
- This does not apply to artists the client had demonstrably already worked with before the first booking through Soluna.
13 Liability
- Soluna's liability is limited to the amount the client paid for the performance concerned.
- Soluna is not liable for indirect damage, such as lost revenue or profit.
- These limitations do not apply in the event of intent or deliberate recklessness on Soluna's part.
14 Complaints
- The client must report complaints about a performance in writing within 7 days of the performance, with a clear description.
- A complaint does not suspend payment.
15 Consumers
- If a consumer books, for example for a private party, the mandatory rules of consumer law also apply. A booking for a leisure activity on a specific date has no statutory 14-day cooling-off period.
16 Privacy
- How Soluna handles personal data is set out in the privacy statement.
17 Governing law
- Dutch law applies to these terms and all bookings.
- Disputes are submitted to the competent court in the district where Soluna is established, unless the law designates another court.
